How to set up the automatic returns and exchanges with Shopify

If you're using Shopify to import your orders and you wish to get the most out of Outvio's returns and exchanges functionalities, this article is for you.

With Outvio and Shopify you can access exclusive functionalities that, for the time being, are not available for other CMS: automatic returns and exchanges with unique Revenue Plus features designed to increase your sales.

All, so you can:

  • Retain more revenue by inviting customers to do exchanges instead of returns.

  • Incentivise additional purchases in the returns and exchanges flow.

  • Encouraging exchanges for higher-value products through smart recommendations.

  • Reduce refunds by promoting shop credit instead of cash paybacks.

  • Reduce the workload of your customer service department

  • Give a better overall shopping experience and increase customer satisfaction and loyalty.

  • Distinguish your store from the competition with a unique service in the industry.


Automated Exchanges 💫

Outvio allows you to offer your clients automated exchanges for other products. To enable this function, Outvio connects to your Shopify store and shows the products (or variants) available to be exchanged by the desired item.

  • You can offer your clients two types of exchanges:

    • Exchange for any product available in the store

    • Exchange for a different variant of the same product

Automated exchanges are available starting from the Conquer plan

  • Exchange for any product available in the store

  • This option allows your clients to exchange the item for any product available in the store. When the client selects this option, we will give you the flexibility to choose between recommending products of a higher or equal value

    To add, you can encourage exchanges even if the client originally wants to process a return of the item, by enabling the option Encourage exchanges:

  • The refund or corresponding payment will be handled via Shopify

  • Exchange for a different variant of the same product

    This option allows your clients to exchange their item for a different variant of the same item (size, colour, etc.)

    In this case, you have the option of specifying when should Outvio create an order to exchange. It can be immediately, after the courier picks up the item, or after receiving and verifying the returned items.

    → To accept returned items enter Returns🔁, click on mark products as received, and Accept under each product:

Automatic refunds 💸

When you select the option to refund in the form of store credit, you allow the option to automatically refund your clients.

In the options of automatic refund you can choose between a discount voucher and a gift card, and also add a small fee.

  • 💸 Discount voucher: this voucher is a code with a one-time use that the client can use at checkout to make a purchase.

    When a voucher is created, Shopify generates it and saves it in your Shopify account in the "Vouchers" tab. It also sends both you and your client a notification email.

    If you activate the Notifications template "Store credit generated" in Branding, it will also send a notification to your client from Outvio with the voucher code.

  • 🎁 Gift Card (Shopify Plus):

  • This option is available exclusively for stores with a Shopify Plus subscription due to limitations on Shopify

    The advantage of the gift card is that it can be used on multiple occasions until the balance has been used up.

    Outvio does not send notifications when it comes to gift cards, but you can find them in your Shopify admin panel in Products > Gift Cards

  • 🤩 Additional bonus:

    When you select refund to store credit, you can add an additional bonus. The method to add an additional bonus can both be a fixed fee or a percentage

    If you select the option Percentage, you need to add a minimum and maximum value, as well as the percentage of the bonus.

    → Each option has its own ranges and variables. When Outvio issues credit, the formula is the following: [value of the returned item] + bonus


If you enable the option "Voucher or Gift Card + Bonus" in Outvio, the system will automatically calculate the amount and will generate either the Voucher or Gift Card with the total amount.

Depending on the option you choose: "Immediately", "After the courier pickup" or "After receiving and accepting the returned items" - Outvio will automatically generate a voucher or gift card + any bonus amount in your Shopify store for your client.
