How to customise the emails you send to your clients?

Creating personalized email templates

Go to Branding > Notifications > Default Notifications

In this section you can personalize, activate and view your notification templates.

If you DON'T want to personalize your notification templates, you can just activate the notifications you want to be sent and click view under each template to check the message that will be sent by default. Dont forget to click Save!

  • Notifications will automatically provide clients with the ability to track their shipments. They will be redirected to the tracking portal with an automated link to their specific order when clicking the button:

If you WANT to personalize your email notifications, follow the following steps:

  1. Choose the notification email you want to edit💬

  2. Select the language for the new custom template🌐

    Most of our customers can create templates in two languages (English and a second language that is based on the location of the main warehouse). If you are on the Conquer plan you can customize emails in more languages.

  3. Fill the mandatory fields💥

    The subject of the e-mail, the sender's name and e-mail address

    It is essential to have this information in order to be able to save the modifications made to your customized template.

  4. Select to which countries this template will be destined🌍

    You can decide which e-mail template will be sent to which countries by selecting the countries in the corresponding selection menu.

  5. Customize your email template according to your preference💫

    Outvio gives you numerous options to customize your email templates. Here are the main features:

    Your email template is divided into editable sections, and each part is customizable. On the right, you will find three sections: Content, Rows and Settings:

    • Content💱 - In Content, you can add elements such as text, images or videos

    • Rows🟰 - In Rows, adjust the template layout

    • Settings⚙️ - In Settings, you configure general options such as background colors and fonts

    • Keep in mind that to use any of the options in the Content or Rows section, you must drag it from the section to the selected template area and follow the instructions provided.

      To undo any changes, click on the "Undo-arrow" below the page.

    Above the Content, Rows and Settings sections, there are 4 important buttons:

    • 1️⃣The first one shows you the list of tags. Adding tags helps you to personalise your email content automatically for each client.

      For instance, you can put the {{tracking.url}} tag in the URL field of your tracking button, while changing the text to "Track your order!"

      When your clients click on this button they will be taken to your Tracking page where they can see the status of their shipments

    • When you edit the "They verify their identity to access the returns portal" email template, please use the tag {{identity.verification.button}} instead of {{identity.verification}}. This way, based on the location, the correct language will be applied once your customer is inside the portal

      • However: you should use meta tags when creating the content of your email templates. You just need to open the drop-down menu (Merge tags) and select the tags you want to use in your template

        👉 The reason lies in the fact that when you simply copy/paste the tags (from the list of tags), the copied format might not fit in and as a result, the tags are used incorrectly.


      That's why it is important to use meta tags in the body of the text


    • 2️⃣ The second button toggles the structure and helps you to work with the layout of the template

    • 3️⃣ The third button sends this template as a test email to your own email address

    • 4️⃣ The fourth button shows the preview of the mail on the desktop and mobile screens

    • The last two options just described are quite useful for verifying that all your design changes look the way they are supposed to look after you have finished customising your template.

After you have done all changes, you can replace the default template with the new one. But first, you need to activate it and save the changes.

From this moment on your customers will receive emails you have personally customised for them

→ If for any reason you do not like the result you can always delete the template and start customising it from the beginning by clicking on {Delete Template}

You can also reuse the template you have created as the base for other emails by clicking on {Use Existing Email as Template} For that,you can select an existing template and simply modify the text. In this way, with a single template you can configure and personalise several emails, in different languages, in a matter of minutes.
