In Outvio, you get charged for each shipment. The price depends on the actual and volumetric weight of the package and destination. In the Subscriptions and rates section, you can see the shipping rates for each of your couriers. All the charges made by the courier are visible in the Billing data section.

Outvio charges you based on the information you enter or have available in your orders at the time of shipping. In a normal situation, the information that you enter in Outvio and what the courier gets when measuring/weighing your shipment should be the same or very similar, meaning that your orders will not have any type of posterior adjustment. However, if the courier gets a different weight or dimensions, or the weight exceeds measurements or weights that incur surcharges, the final price of the shipment may be higher than the one Outvio shows you when creating the shipment.

Also, your shipment may generate additional shipments. For example, in case your client rejects the shipment and it must be returned to its origin, the courier generates a new shipment, with its corresponding cost, in order to return the order.

Outvio only knows the actual dimensions and weights of the shipments and of those new shipments generated by the courier only later, once we receive the monthly invoice from the courier.

This is the reason why Outvio, once it has the information about the shipments provided by the courier, can apply adjustments that reflect those differences in weight/dimensions, or those new shipments (of which Outvio cannot know anything a priori) generated by your initial shipment since the couriers charge Outvio for the dimensions and weights that they measure, not for what you initially enter in Outvio when creating the shipment.

In addition, there are other types of adjustments, and most of them are mentioned in the conditions of the couriers (you will find the conditions of each courier in the Subscriptions and rates section under the shipping rates table). It is your responsibility to inform yourself about the conditions of each courier because they might increase the price of your shipments afterwards.

Next, we are going to mention the most common adjustments/supplements:

  • Adjustment for higher weight. All the couriers weigh and measure the packages after having received them (at the time they inject them into their network). If this data differs from the data marked on the labels, they will report about it and the weight (and rate) adjustments will be done. You need to take into consideration that although all of your boxes/packages might have the same size in theory, they might not have the same form at the moment when the laser (machine) is weighing and measuring these packages. Therefore, if the package has been damaged during the transportation process even slightly and for that reason has a different shape, the weight of that package might differ from the ordinary one, causing it to have a higher rate.

  • Supplement for the return to the origin. If your client rejects the package at the delivery, or it can not be delivered for some reason, it is very likely that the package will be sent back. Depending on the service of the courier, this cost may vary. Sometimes the shipments get returned also because of the insufficient documentation needed at the customs.

  • Supplement for changing the delivery address. It depends on the courier but most of the couriers take some fee for changing the delivery address while the shipment is already in transit.

  • Supplement for the failed pickup. Some couriers might charge you for not having the packages ready to ship or for not being available at that time.

  • Taxes at destination. For some destinations, there may be additional charges that are applied temporarily or permanently by the customs of the destination country and that the courier passes you as the sender. It is something unusual and usually happens temporarily, or for uncommon destinations.

  • Fees for re-introduction of merchandise. If you receive a return from outside the EU, the customs of the receiving country (i.e. Spain) usually apply tariff duties for re-introducing the merchandise back into the EU. The value of these duties and taxes changes depending on the value and type of merchandise. The courier passes these tariff duties to Outvio and we at the same time will pass them on to you as the person responsible/receiver of the merchandise. In addition, the courier can charge an additional cost for managing the documentation for the re-introduction of the merchandise. This is important to take into account when assessing return costs from outside the EU.
