How do I prepare my shipments?

Requirements for your shipments

When preparing your orders to be shipped, there are a few of important steps you need to know in order to guarantee your shipments to be transported smoothly with the couriers:

❗️In addition to being aware of the restrictions applicable to certain products and certain countries or regions with each carrier, the customer is responsible of carefully reviewing the information provided for each shipment and verifying that it is correct❗️

1. Fill the required fields for each shipment

Couriers require all customers to provide a description of the contents of the shipment.

It is also important to fill in the fields with all the complete data of the sender and recipient:

➡️ Name and surname, ID (for international destinations that require it), full address, telephone number and email address

❗️Insufficient or imprecise descriptions can lead to delays at customs by not passing security or customs controls and therefore customer dissatisfaction due to longer traffic or shipments that are retained or returned ❗️

2. Make sure to add a correct HS Code

You can do it in Outvio, but it's much more convenient to tag your products with the correct HS code in your CMS to automate the process.

3. Attach the Shipping Labels to all of your packages

The label must be attached to the side of the package with enough packing tape to prevent it from coming off, but without covering the barcode, as this could cause problems when scanning the package.

4. Attach invoices to packages of international shipments

Any export shipment (shipments outside the EU, Canary Islands, Ceuta and Melilla), requires 3 copies of the sales invoice added to the package. Outvio automatically prints the sales invoices for you together with the Shipping Labels so this step should be quick and easy.

You will need to attach the invoices in a transparent envelope/pouch onto each package of your international shipments. It is important to do so to avoid possible problems with customs.

Keep in mind that your shipments do not need additional invoices if the destination is within the EU. In Outvio you can choose how you want the system to generate the shipping documentation for you. More information on how you can configure your print settings can be found HERE.

5. Print the Shipping List for each courier

There are 2 copies of the Shipping List in the document – you should have one copy signed by the courier when he comes to pick up the shipments and keep it for later reference, the other copy you can give to the courier if needed.
