How to set up Outvio to process orders from two or more workstations

Process orders from two or more workstations

With Outvio you can process orders and print labels from two or more workstations. You must be on the Conquer plan or higher.

To do this please follow the steps below.

STEP 1. Create a warehouse for each user.

It does not have to be a physical warehouse, but if, for example, you have a warehouse called "Main Warehouse", you would rename it to "Main Warehouse (Station 1)", and create a new warehouse (with the same address and data as the previous one) called for example "Main Warehouse (Station 2)".

STEP 2. Create a user for each workstation and assign a different warehouse to each of them.

You assign each user who will work on processing orders a different warehouse and the role "Warehouse".

STEP 3. Create shipping rules that automatically assign a warehouse to each order.

When an order is created in Outvio, by default, and unless the information comes via an integration (API or CMS), Outvio assigns the default warehouse to all orders.

You can create shipping rules that assign a warehouse to an order, based on different order characteristics. For example, you can create a rule that assigns domestic orders to the "Main Warehouse (Station 1)", and international orders to "Main Warehouse (Station 2)". You can also assign by the number of items in the order (and have one station process orders for 1 item and the other station process orders for more than 1 item), or based on the shipping method selected by the buyer, etc.

STEP 4. Each user processes the orders assigned to their warehouse.

Either using picking lists or directly from the shipping queue, each user will see only the orders corresponding to their workstation.

STEP 5. (Optional) Processing orders with Scan & Pack and direct printing.

If you want to process orders and have the shipping labels printed without the browser print dialog appearing, you can activate the Outvio Print App. The following article explains how: click HERE.

In case you want to use the Scan & Pack and direct print functionality you should take into account the following:

  • The printer used by each user must be the default printer of the operating system of the computer being used by that user.

  • Each user must log in from a different computer.

  • Each user must use their printer API KEY (which can be found in their User Account section). Make sure you select everything in that field.

  • Each user must have the Outvio Print Application running on their computer before they start processing orders.

IMPORTANT:

Make sure the application is working properly before you start printing your labels.
